General access
Who can open the app without being added by name.
On top of the people and groups you add, every app has one general access setting. Only the Owner can change it.
| Setting | Who can open the app |
|---|---|
Only people added (restricted) | The people and groups you added. This is the default. |
Everyone at the company (org) | Anyone signed in with a company account, as a Viewer. Company workspaces only. |
Anyone with the link (link) | Anyone, with no sign-in. |
A personal workspace has Only people added and Anyone with the link.
Everyone at the company means the directory
In a company workspace, an app is open to everyone at the company when it is listed in the company directory. Choosing Everyone at the company in the Share dialog submits the app there.
- If your admin has Directory submission approval on, the app opens to everyone once an admin approves it. Until then the dialog says it was submitted.
- If the policy is off, it is listed at once with a "New" badge.
To take the app back to Only people added, unlist it from the directory. If your admin has Unlist approval on, it stays listed until an admin approves. People you added by name keep their access either way.
When a setting is not available
The Share dialog shows each setting and, when it cannot be used, why:
| You see | Why | What to do |
|---|---|---|
| Blocked: fix the security issues first | The latest version has blocking security issues and your admin requires the scan to pass. | Fix them and redeploy. |
| Turned off by your admin | Your admin turned off public links. | Use Everyone at the company instead. |
When an admin turns off public links, every app set to Anyone with the link goes back to Only people added straight away.
The free days
Every new workspace can deploy and share for 7 days without a plan. After that, opening an app up (to the company or by link) needs a paid plan. Narrowing access to Only people added always works. See Plans.
